The reservation fee guarantees your group the use of the pavilion for two hours, access to the pool and its amenities and admission for up to eight children, including the birthday child. Additional admissions will be collected on the day of the event. Please bring a guest list with you to the event and provide it to the pool supervisor when you check in. You are only responsible for paying for the guests and adults that attend.

Rental Fee Information

What does the $84.50 reservation fee provide?

  • The reservation fee guarantees your group the use of the pavilion for two hours, access to the pool and its amenities. Any additional admissions will be collected on the day of the party. Please bring a guest list with you to the party and provide it to the pool supervisor when you check in. You are only responsible for paying for the guests and adults that attend.

Are there any other fees required?

  • In addition to the $84.50 reservation fee for the pavilion, regular entry fees to the pool are required for additional guests. Fees vary by pool location. Entry fees are paid at the pool at the time of entry. 

     

What is included in the pavilion rental?

  • The reservation includes a guaranteed spot in a designated area at the pool, either in a pavilion or a tented area and admission for eight children, including birthday child. Both pavilion and tented area include at least four (4) picnic tables. Additional admissions, food and drinks are not included in the pavilion rental.

     

What forms of payment are accepted?

  • The city accepts cash, checks, money order, Visa, MasterCard and American Express. Checks should be made out to City of Gainesville.

     

If we want to pay the admission costs for our guests, can we do that?

  • Yes, our staff wants to provide the best customer service to you as possible. When you check in at the front entry upon arrival for your pavilion rental, please check with the pool supervisor on duty and discuss with them the payment arrangements you want to make for your guests. The pool supervisor and/or cashier will work with you on payment arrangements for guest entry fees.

     

What is the refund policy?

  • No refunds are available for cancellations made by the reservation holder less than seven (7) days before the scheduled rental.
  • If a cancellation is required by city staff for whatever reason (weather, pool closures, etc.) prior to the start of the reservation, then either a full refund will be offered or the renter will be offered a make-up date.
  • If a cancellation is required by city staff for whatever reason (weather, pool closures, etc.) once the rental event has started, then the renter will be offered either a full refund of the reservation fee, or the opportunity to choose a make-up date. No refunds of entry fees will be provided under any circumstances. If the pavilion rental has to be canceled by city staff after the guests have all paid their entry fees, each guest will be given a free pool pass to return to the pool on another day.

Making Reservations

What times of the day can the pavilion be rented?

  • Pavilion rentals are available during the pool's normal operating hours, which vary by day. Typically, no more than two 2-hour time slots will be available for pavilion rentals (12 p.m.–2.p.m. or 3 p.m.–5 p.m.).  Current pool hours are available on our website.

What if I wanted to reserve a pavilion for longer than 2 hours?

  • There are two options to do this:

    1. When making a reservation in advance, and no other pavilion rentals are scheduled, a customer may rent both time slots by simply paying for both time slots ($84.50 x 2=$169). This locks in the pavilion reservation for the entire day.
    2. On the day of the reservation, if no other pavilion rentals are scheduled, the customer may pay for additional pavilion time above and beyond their initial 2-hour time slot (additional added time may not exceed the pool’s normal closing time for the day). Additional time may be paid for in 1-hour increments by seeing the cashier at the front entry of the pool. Extra time must be paid for in advance before the start of that extra time.

    Please note that neither option will be available if other pavilion rentals are scheduled on the same day.

How far in advance can pavilions be reserved?

  • Customers can reserve a pavilion up to six months in advance.

  • Pavilion rentals must be made at least ten business days in advance of the reservation date. Rental requests received less than ten days before the designated date may be denied. Requests will be reviewed by the recreation supervisor or designee, and approved on a case-by-case basis, based on scheduled programming, facility availability, staffing availability, weather conditions, and other known or unknown circumstances.

Do guests have access to all the pool amenities?

  • Guests who are part of a pavilion rental have access to all of the pool amenities that are available to the general public.
  • Please refer to Question #4 (below) for more information on swimming requirements.

Other notes and important information.

  • Guests who are swimming must have a bathing suit on. Basketball shorts, cut-off jeans, khaki shorts, etc. that are not designed to be bathing suits are not allowed.
  • No running on the pool deck.
  • Guests must observe and follow all posted rules at the facility.
  • All children under the age of 18 must pass a swim test. Patrons who fail the swim test are not allowed to use the slide, diving boards, or deep end of the pool.
  • Patrons who require the use of a life jacket are not allowed to use the slide or diving boards.

What to Bring and What is Allowed

Can we set up games and activities at the pool for attendees?

  • For safety reasons, games and activities are prohibited on the pool deck.
  • Games in the pool, such as Marco Polo, may be allowed if it does not compromise safety, and if it does not interfere with other patrons at the pool.

Are decorations allowed? If so, what types?

  • Limited decorations are allowed at the pavilions.
  • Setup of any decorations cannot be done before the start of the pavilion rental. Any decorations must be put up during the rental period.
  • Clean-up of any decorations cannot take place after the rental is over. All clean-up and take-down of decorations must occur during the rental period.
  • See Question #3 (below) for balloon requirements.

Can we have balloons?

  • No, balloons are not allowed

Can we have candles or open flame?

  • Candles on cakes are permitted, but due to city fire code, no other types of flame are allowed.
  • Sterno or other similar heating candles are allowed for purposes of keeping food trays warm.

What is Not Allowed

Is alcohol and/or tobacco allowed?

  • No alcohol of any type is allowed inside the pool facility.
  • No tobacco or tobacco-related products of any kind are permitted inside the pool facility. This includes vapor/vaping products and smokeless tobacco products.

Can we have a DJ, or can we bring our own music to the pool?

  • No DJs, bands, live music or stereos may be brought into the pool. Each pool has its own music/sound system.

Can we bring barbecue grills to the pool?

  • Barbecue grills of any type are not permitted inside the pool area.
  • City ordinance prohibits patrons from bringing grills into public parks.

Can we bring rafts, inner tubes, water wings or other flotation devices?

  • No outside flotation devices are allowed unless they are United States Coast Guard approved (if Coast Guard approved, the flotation devices will be stamped as such).
  • No water wings, life vests or life jackets are permitted unless they are Coast Guard approved. The City provides free life jackets to patrons who cannot swim, or are not strong swimmers.
  • Fun-noodles are allowed.

What other items are prohibited at the pool?

  • No weapons of any kind.
  • No illegal substances of any kind.
  • No flotation devices that are not Coast Guard approved.
  • No audio devices of any kind that play amplified music or sound.
  • No balloons of any type are allowed.

Food Information

Is food included with the pavilion reservation?

  • Food is not included in the pavilion reservation.

Are we allowed to bring our own food and drink to the pool?

  • Yes, patrons who reserve the pavilion may bring their own food and drink to the pool.
  • No glass of any kind is permitted.
  • No alcohol, tobacco products, vaping products, gum or hard candy is allowed.

Is food available for purchase at the pool?

  • The city does not have food available for purchase at the pools at this time.

Weather Policy

Rain: The pool will remain open as long as the lifeguards on duty can still see the bottom of the pool from their lifeguard stands. At the point in time where it becomes difficult or impossible for a lifeguard to see the bottom of the pool due to rain or other conditions, the pool will immediately be closed.

A Lightning Advisory notification will be issued when lightning is detected within 20 miles of the facility; the facility will not close during this advisory, but preparations will be made to do so. During this time, staff will inform patrons before paying to enter the facility that inclement weather is in the area, and reminded that no refunds are issued.

A Lightning Warning notification will be issued when there is lightning within 10 miles of the facility; the facility will be required to close down at this point. Patrons will be cleared from the pool, deck, tented areas and pavilion and advised to seek safe shelter.

An All-Clear notification will be sent out once the severe weather has left the area. At this time the facility will re-open and resume normal business operations.

The city has weather monitoring stations at all three pools monitored by Perry Weather. To avoid confusion, the data from this system supersedes all other weather information sources.

In the event the Perry Weather system is down for any reason, city staff will implement the following weather policy:

  • “If you see it, flee it.” – Any visible lightning will automatically cause the pool to be closed.
  • “If you hear it, clear it.” – Any audible thunder will automatically cause the pool to be closed.
  • The pool will remain closed for 30 minutes following the last observed instance of thunder or lightning.
